Position Overview
The Receptionist plays a key role in managing front-desk responsibilities while also supporting office operations and client communications. This individual will handle a wide range of administrative tasks and work closely with team members, clients, and vendors to ensure an organized, responsive, and professional office environment.
Key Responsibilities:
Reception & Client Experience: Greet clients and visitors in a courteous, professional manner and ensure a positive first impression.
Phone Management: Handle incoming and outgoing calls efficiently, with clear and professional communication.
Administrative Support: Assist with general administrative duties including filing, scanning, copying, and document preparation.
Managerial Assistance: Provide direct support to the office manager with various tasks and ongoing projects.
Scheduling & Calendar Coordination: Help manage appointments and maintain team calendars.
Mail & Deliveries: Oversee the intake and distribution of mail and packages.
Office Maintenance: Ensure office areas are clean, organized, and fully stocked with supplies.
Team Support: Offer assistance to other staff members as needed to promote efficient operations.
Confidentiality: Maintain discretion with sensitive information and follow internal privacy protocols.
Required Skills & Qualifications:
Education: High school diploma or equivalent required; some college coursework preferred.
Experience: Minimum of 1–2 years in a receptionist or office assistant role; experience in the title industry is a strong plus.
Technical Proficiency: Comfortable using Google Workspace and Microsoft Office (Word, Excel, Outlook).
Communication Skills: Excellent written and verbal communication skills; fluency in English required.
Organizational Ability: Strong multitasking skills with keen attention to detail and the ability to prioritize effectively.
Professionalism: Demonstrates a polished appearance, reliability, and a proactive, team-oriented attitude.
